Claritance is operated by Zambezi Media. This policy explains how we collect, use and protect personal data when you use the Claritance platform.
1. Data we collect
- Account information — name, email address, organisation name and role.
- Compliance records — staff records, incidents, risk assessments, rotas and related operational data you enter into the platform.
- Usage data — pages visited, features used and session duration, collected via anonymised analytics.
- Communication data — emails and support messages you send to us.
2. How we use your data
- To provide and maintain the Claritance platform.
- To send compliance alerts and notifications you have enabled.
- To respond to support requests.
- To improve the platform based on usage patterns.
- To comply with our legal obligations.
3. Data storage and security
All data is stored on Supabase infrastructure hosted within the European Union. We use row-level security, encrypted connections (TLS) and access controls to protect your data. We do not sell your data to third parties.
4. Data retention
We retain your data for as long as your account is active. On account closure, data is deleted within 30 days unless you request earlier deletion or we are required to retain it by law.
5. Your rights

6. Cookies
We use essential cookies only — required for authentication and session management. We do not use advertising or tracking cookies.
7. Changes to this policy
We may update this policy from time to time. We will notify account holders of material changes by email.
